Mailers
Overview
A mailer is a scheduled report that Validere emails to a distribution list. Mailers are configured per account. There is no fixed set of LIMS mailers that every account receives.
The table below is an example of the kinds of mailers an account can have set up. Names, cadence, and recipients are all account-specific.
| Example mailer | Example cadence | Typical use |
|---|---|---|
| Monthly S&W / BS&W report | Last business day of the month, and/or the first days of the next month | Month-end sediment and water results |
| Inactive instrument notification | Weekly | Instruments that have not received tests in a specified number of days – used to trigger investigation into if instrument is offline |
| Daily results report | Daily | Operational results for a site or test type |
Mailers usually send on their schedule. You can also trigger one manually, change recipients and frequency, or run the underlying report on demand.
Find the mailer workflows
Distribution is usually controlled through workflows.
- Go to Workflows > Categories.
- Open the category used for reports and mailers (the name varies; Reports & Mailers is a common example).

Trigger a mailer manually
- From that category, click Create Workflow.
- Select the site or other scope the mailer is built around (if the template asks for one).
- Set a due date (the date is often unused by the mailer itself, but the workflow requires a set due date).
- Click Create Workflows.
The mailer is generated and sent using the same logic as the scheduled run.

Manage recipients and frequency
- Open the mailer workflow template.
- Click Configuration > Edit (pencil).
- Open Scheduled to change how often it runs.
- Open the step that sends the report (the step name includes the report or mailer name) to change recipients. To configure or edit the user groups that receive the report, see User Groups.

Pull the report without sending the mailer
To generate the file at any time, without waiting for the email:
- Go to Reports > Templated.
- Open the templated report used by the mailer.
- Fill in any required parameters (for example report type).
- Click Run.
This page also shows historical runs of that report. Please note that the report takes a few minutes to run.
