Instrument Spares

Overview

Validere can identify which physical instrument produced a test by serial number, instead of assuming one generic instrument per site and instrument type.

  • Each instrument is uniquely identified by its serial number.
  • Current Site is the site where the instrument most recently produced a result. If the instrument is used as a spare at another site, Current Site updates automatically.
  • The instrument name does not change when Current Site changes.

Active instruments

A test is tagged to the specific instrument that produced it (for example a particular Eravap serial).

When a different instrument of the same type is used at a site, that instrument is marked Active and the other instruments of that type at the site are marked Inactive.

If the instrument is used at a new site, Current Site updates automatically.

Instruments that do not report a serial number

Some instruments (for example Horiba and Rudolph analyzers) do not report a serial number. For those types, Active/Inactive must be set manually.

If a site has more than one instrument of that type, operators or field quality staff set which one is Active. Incoming tests are assigned to the Active instrument.

Swap a Horiba or Rudolph for maintenance or calibration

When one of these instruments is swapped out, mark the instrument coming out of service Inactive and the instrument going into service Active.

  1. Go to Organization > Instruments.
  2. Search for the instruments you need.
  3. Open the instrument.
  4. Confirm the Serial Number matches the physical instrument.
  5. Click Change Status.
  6. Set the status to Active or Inactive.
  7. Under the period control, set the start period to the current month, then save.

Add an instrument (including a rental spare)

  1. Go to Organization > Instruments.
  2. Create a new instrument.
  3. Follow the naming convention used in your account.
  4. Select Field Instrument.
  5. Fill in the required identification fields (typically including serial number, type, and site). The remaining attributes are not required for serial-number matching to work.
  6. Save.
